Job Description

The Front Desk Administrative Assistant will ensure the efficient day-to-day operation of the office; support the work of management and other staff with general administrative and clerical duties.

Primary Duties and Position Responsibilities

  • Answer inbound calls and general phone inquiries using a professional and courteous manner
  • Direct phone inquires to the appropriate staff members
  • Take and deliver messages
  • Greet visitors and clients in a professional and friendly manner
  • Monitor visitor access and interact with visiting vendors
  • Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents
  • Handle requests for information and data
  • Sort incoming mail, faxes and courier deliveries for distribution
  • Prepare and send outgoing faxes, mail, emails and courier parcels
  • Forward incoming general e-mails to the appropriate staff member
  • Forward voice mail from the general mailbox to the appropriate staff member
  • Provide secretarial and administrative support to management and other staff
  • Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
  • Tidy and maintain reception areas
  • Keep track of personnel working in and out of the office
  • Manage inventory and ordering of office supplies
  • Manage and update phone and voice mail recording system


  • High School Diploma
  • Post secondary education in business, computers, or office management is an asset
